Users & Roles
Manage users, roles, and permissions in your WoPora organisation.
Users & Roles
The Users page is where administrators manage who has access to WoPora and what they can do. Navigate to Dashboard -> Users.
User Roles
| Role | Who it's for | What they can do |
|---|---|---|
| Admin | Organisation owner / HR lead | Full access: settings, payroll, all employee data, user management |
| Manager | Department or team manager | Scheduling, approvals, analytics, staff oversight across assigned locations |
| Supervisor | Team lead or floor supervisor | Day-to-day roster execution, clock oversight for their team |
| Accounts | Payroll / finance team | Pay run creation, review, export; read-only on timesheets |
| Staff | Front-line employees | Self-service via Staff Portal only (no Dashboard access) |
Inviting a New User
- Go to Dashboard -> Users -> Invite User
- Enter the user's email address
- Select their role
- Optionally assign to a location and/or team
- Click Send Invitation
The invitee receives an email with a sign-up link (expires after 72 hours). You can resend it from the Users list.
Managing Existing Users
Changing a User's Role
- Find the user in the list and click their name
- Change the Role dropdown
- Save
Deactivating a User
- Open the user's profile
- Click Deactivate
- Confirm
Deactivated users cannot log in but their historical records remain intact. They can be reactivated at any time.
Linking Users to Employee Profiles
A User (login account) and an Employee (payroll record) are separate in WoPora. For staff who need both:
- Create the employee record under Employees
- Invite the user with the Staff role
- In the employee profile, link the user account via the Linked User field
Pending Invitations
The Pending tab shows all invitations not yet accepted. From here you can resend or cancel an invitation.
Multi-Organisation Users
A user can belong to multiple WoPora organisations. Each organisation membership has its own role. Users switch between organisations from the top bar after signing in.
