How to set up, activate, and manage clock-in kiosk devices in WoPora.

Devices (Kiosks)

WoPora supports dedicated kiosk devices --- tablets or touchscreen computers installed at your work sites so employees can clock in and out. Navigate to Dashboard -> Devices.

What is a Kiosk Device?

A kiosk is any device (tablet, touchscreen PC) that:

  • Runs a browser pointing to the WoPora kiosk clock-in page
  • Is assigned to a specific work location
  • Lets employees clock in/out using their 4-digit PIN
  • Optionally captures a photo for face verification
  • Records GPS location (if the device has location services)
  • Works offline, storing punches locally until connection is restored

Kiosks are ideal for sites where employees don't use personal devices at work --- warehouses, retail floors, hospitality venues, construction sites.

Registering a Device

  1. Go to Dashboard -> Devices -> Add Device
  2. Enter a device name (e.g., "Warehouse Kiosk 1") and select the location
  3. Click Save

WoPora generates a one-time activation code (valid for 24 hours). Copy this code --- you'll need it on the physical device.

Activating a Device

On the physical kiosk device:

  1. Open a browser (Chrome or Safari recommended)
  2. Navigate to the WoPora kiosk URL for your organisation
  3. Click Activate Device
  4. Enter the activation code
  5. The device is activated and the kiosk clock-in screen appears

Tip: Set the browser to fullscreen / Kiosk Mode and pin it as the home screen so employees can't navigate away. On iPad, use Guided Access.

The Kiosk Clock-In Screen

  • PIN entry pad --- Employees tap their 4-digit PIN
  • Employee confirmation --- Employee's name and photo are shown after PIN entry
  • Action buttons --- Clock In, Start Break, End Break, Clock Out (only the relevant action is shown)
  • Photo capture --- If face verification is enabled, the camera activates
  • Auto-logout --- Returns to PIN entry screen after 30 seconds of inactivity

Face Verification

An optional security feature that captures a photo during clock-in and checks it against the employee's profile photo to flag suspicious punches (buddy punching).

Enabling Face Verification

  1. Open the device in Dashboard -> Devices
  2. Go to Settings -> Face Verification
  3. Toggle Enable face verification on
  4. Set the confidence threshold and save

Captured photos are stored and visible in the employee's timesheet detail for manager review.

Offline Mode

If the kiosk loses internet connection:

  • The clock-in screen continues to work
  • Punch events are stored locally
  • When connection is restored, all stored punches sync automatically
  • A subtle offline indicator appears on screen

Managing Devices

The Devices list shows name, location, status, last activity, and total punch count.

Disabling a Device

Temporarily disable for maintenance: open the device -> Disable. The device shows a maintenance message until re-enabled.

Revoking a Device

Permanently revoke (e.g., stolen or decommissioned): open the device -> Revoke -> enter reason -> confirm. A revoked device cannot be re-activated.

Generating a New Activation Code

If the original code expired: open the device -> Regenerate Activation Code.

Hardware Recommendations

WoPora works with any modern device running Chrome or Safari.

  • iPad (9th gen or newer) --- Best camera quality for face verification
  • Samsung Galaxy Tab A8+ --- Good Android option
  • Screen size: 9---13 inches; front-facing camera required for face verification
  • Mount on a wall bracket or counter stand at head height

Security Best Practices

  • Mount devices in a visible, monitored area
  • Enable device screen lock so employees can't browse the web
  • Check Last Activity regularly --- an idle device during working hours is a red flag
  • Revoke devices immediately if they go missing
  • Review face verification photos periodically to spot buddy punching
